Help Notes - Microsoft Outlook - Web Access

HELP!!!  I CAN’T GET INTO MY E-MAIL!!!

No need to panic, just follow these steps…

A)                Open the Internet Browser (Internet Explorer or Netscape).

B)                 Type in www.bloomfield.edu and select Webmail.

C)                At the login page you will be asked for your username and password:

If you are a student -The username convention that we use here at BC is six letters from your last name and two from your first.  Example:  If your name is Alicia Roberts, your username would be robertal.  If your last name is shorter than six letters, the username would adjust as follows:  Diana Lee – username leediana. 

If you are a faculty or staff member – The username convention is the first letter of your first name and seven letters from your last name, equaling 8 letters.  An example of this is Keith Richards the username would be KRICHARD.  In case of a shorter last name, the username would be less than 8 letters.

** Please note if you have been employed at BC for more than 3 years, your username may be 8 letters of your last name only.**

If you need help call the Help Desk at ext. 224.

If you are a student - The password convention here at BC is your student I.D. number plus the last 4 digits of your Social Security Number.  Please do not use the zero before your student I.D. number – example:  correct  283605 – incorrect 0283605.

If you are a faculty or staff member – Your password is whatever you chose when you applied for your network account.

Although there is no risk in changing their values, these options should be left at their default settings (Premium and Public/Shared) for optimal performance.

D)                Still does not work?  Write down the message that appears on the screen.  Speak to a Lab Assistant or call Help Desk at ext. 224.

E)                 Did you get in?  GOOD!  You are now viewing your Inbox with your messages.  If you have not checked your mailbox since last semester, your mailbox may be full and/or closed.  Follow directions to delete items and empty the Deleted Items folder.

F)                 REMEMBER TO CHECK FOR MESSAGES IN THE PUBLIC FOLDERS!! Click on Public Folders on the left of the screen.  Open the student folder by clicking on Public Folder and then Student Public Folder.  To get back to your inbox, click on Inbox to the left of the screen.

G)                By clicking on the Folders icon to the left of your screen you gain access to other folders such as Calendar, Contacts, Sent Items, etc.  Please feel free to explore these.

H)                READY TO GET OUT? – REMEMBER TO CLICK “LOG OFF” located on the top right side of the screen.

I)                   CLOSE YOUR BROWSER (EXIT) so that your email remains safe and no one else can get into it after you leave the computer.  If you are on campus, make sure to log off the computer as well.

J)                   THAT’S IT!! – You are either an official user, or you have begun the process of finding out why you can’t get to your email.  Also – don’t forget that you can call x.224 for help.


Show/Hide the Reading Pane

1.      After you log into your mailbox you may want to adjust the view

2.      To turn off the reading pane click on the Show/Hide Reading Pane button on the toolbar.  Choose Off.

** It has been recommended that the preview pane be turned off in order to help prevent the spread of viruses. **

Creating and Sending New Messages

1.      From your Inbox click Compose New. New Message

2.      Address your message.  If you need help finding a Bloomfield College email address see the Find Names section below.

3.      Type your message.

4.      Click the Send button on the toolbar.

Checking a Bloomfield College Email Address (correct spelling)

1.      Click the New Message Icon on the Toolbar. New Message

2.      Click on the Address Book link (To:, CC: or BCC: )

3.      Type in the first name or the last name in the field provided and click Find.

4.      Next highlight correct name and click To:, CC: or BCC:, that appears next to Add Recipient To…

Or

1.      Click the New Message Icon on the Toolbar. New Message

2.      Type part or all of the name of the person who you are sending the email to in the To:, CC: or BCC field provided.

3.      Click the Check Name icon on the Toolbar. Check Names

4.      Select “Change to”, then choose the correct name from the list below and click OK

Creating New Messages

  1. Use the New Message form to compose a message.
  2. To open a New Message form, click the Compose New Mail Message icon on the toolbar. New Message

Addressing and Composing a New Message

1.      Type the names of the recipients in the To and Cc

     boxes. Separate multiple names with semicolons (;).

(Note - if you were sending a message to someone on campus you would address the message, for example Jeff Hanneman.  If you were sending to someone off campus you would address the message, for example Jeff_Hanneman@isp.com.)

2.      To add blind carbon copy recipients, type their names in the Bcc box.  Bcc recipients receive a copy of the message, but their names do not appear in the list of recipients.  Also, each Bcc recipient cannot see the names of other Bcc recipients.

3.      In the Subject field, type a brief subject line in the box to provide a summary of your message.

4.      Type your message in the message body.

 

Replying to the Sender

After reading a message, you can use the Reply to Sender icon on the toolbar to respond to the sender.

1.      Click the Reply icon. Reply

2.      Type your response above or within the body of the sender's original message.

3.      Click Send.

 

 

Checking for New Mail

To check for new messages that have arrived since you have opened your Inbox, click Check for New Mail on the             Toolbar.  Unread messages appear with bold titles. Once you have read a message, its title appears in plain text.

 

 

Deleting Messages

There are three ways you can delete messages.

To delete an open message, click the Delete button on the toolbar.

To delete a message while viewing the Inbox, select the message you want to delete by highlighting it, and then click Delete Marked Messages Delete on the toolbar.

To delete multiple messages while viewing the Inbox, select multiple messages by holding down the shift key and using the down or up arrow keys to the right of your keyboard, or you can hold down the shift key and use the mouse to click and select the messages you want to delete.  Lastly, click Delete Marked Messages. Delete  

Important! Read Here! Deleted messages are sent to the Deleted Items folder. They are not removed permanently unless they are deleted from the Deleted Items folder.  From the Deleted Items folder, click the Empty Deleted Items icon on the Toolbar before exiting your mailbox. → Empty Deleted Items 

* Note - refresh the screen after deleting messages.  Some browsers do not clear the screen after deletion.  If the error message “Unable to Delete” appears, select View and Refresh or reload screen.

        

Reading Messages

 The Read Message form is the standard form in which received messages are displayed.

 These items are displayed in the message heading:

Message Heading

From: Indicates the name (or e-mail alias) of the sender or organization.

To: Indicates the name (or e-mail alias) of the primary recipients.

Cc: Indicates the name (or e-mail alias) of the carbon copy (Cc) recipients.

Subject: Briefly describes the subject of the message.

Sent: Indicates the date and time the message was sent.

Importance: Indicates the priority of the message as determined by the sender.  The sender can set the importance to High or Low.

The message is displayed in the message body, below the message heading.


Working with Folders

Your mailbox contains folders with specific functions:  Calendar, Contacts, Deleted Items, Inbox, Outbox and Sent Items.  To view the contents of other folders, click the folder in the Navigation Pane to your left.  If the folders are not displayed click the Show/Hide Folder button.

Calendar - Stores meeting and appointment information. To view and update your Calendar, click Calendar in the folder list.

Contacts - Stores contacts that you create. To view the contents of the Contacts folder, click Contacts in the folder list.

Deleted Items - Stores messages that you delete. You can view or permanently delete messages in the Deleted Items folder.  (Must be emptied to keep your mailbox from closing).

Inbox - Stores new mail that is delivered. To view the contents of the Inbox folder, click Inbox on the folder list on the left hand side of the screen. Items that you have not yet opened are displayed in bold type.  (Must be maintained to keep your mailbox from closing).

Outbox - Holds mail until it is sent. To view the items in your Outbox, click Outbox in the folder list.

Sent Items - Stores a copy of each message that you send. (Must be maintained to keep your mailbox from closing).  

 

Changing Pages

The Page box which is located on the toolbar, lists the total number of items that are in the current folder. The list of messages is longer than can be displayed on one page of the viewer at a time.

To display a different page, do the following:

To display the previous page, click the Previous Page arrow.   

To display the next page, click Next Page arrow.

To display the first or last page of messages, click the First or Last page arrow.  

Attaching a File

You can attach any type of file that is accessible from your computer or through your network.

1.      Click the Attachment icon.


2.      In the Attachment box, type the path and filename or choose Browse.

3.      After finding the file you want to attach, click Attach. Depending on your system’s security settings, a Security Information dialog box may display, allowing you to continue or cancel the operation.

4.      The name of the attachment appears in the list of attachments. To remove an attachment, select the checkbox to the left of the filename, and click Remove.

Tip

Attachments are not copied when you reply to a message.  Instead, a marker appears in place of the file. To include attachments, forward the message instead of replying to it.

Customizing the Message List

You can change the message list to display messages that have related information, or to display messages sent by the same person or with the same title.

To change the message list display, choose a command in the View box. You can select any of these categories:

Messages displays messages as they are received, starting with the most recent

message at the top of the list.

Unread Messages displays only unread messages.

Two-Line View displays the From and Subject fields in two lines one above the other, rather than next to one another.

By Sender groups messages sent by the same person. All messages in the folder are grouped alphabetically by sender.

By Subject groups messages according to text that appears in the Subject box. All messages in the folder are grouped alphabetically by the subject.

By Conversation Topic groups messages according to text that appears in the Conversation box. Each conversation group is displayed in the order it was received.  If there is no Conversation box in a message, the message is grouped by text that appears in the Subject box.  If the message has neither a conversation nor a subject, the item is grouped under an empty heading.

Unread Messages by Conversation Topic groups unread messages by text that appears in the Conversation box.  If there is no Conversation box in an unread message, the message is grouped by text that appears in the Subject box.

Sent to displays messages by the person or group to which they were sent.

Posting to the Public Folder

Open the Public Folder.   

·        Click the folder you want to open.

·        Click “New” next to “Post to this Folder.

·        Enter a subject, then complete your message.

·        Click on the Post icon.
